Introduction

This Privacy Notice is intended to describe the practices Beat follows in relation to its Global Recruitment Management System (hereinafter the “System”) with respect to the privacy of all users of the System. Beat collects and uses candidates’ personal data in accordance with applicable data protection laws and regulations. Personal data is any information that can be used to identify you, or any other identifiable individual to whom the information relates, such as name, address, e-mail address, telephone number, educational background, date of birth, or other similar information.

At Beat, we have focused on implementing fair information practices that are designed to protect your privacy and your personal information. We believe that everyone benefits from the free flow of information when that information is gathered and used responsibly. If you have any questions regarding the processing of your personal information in the System, please contact us via privacy@thebeat.co.

If you are merely a visitor to our Careers site on thebeat.co, Beat does not collect any personal information about you; However, if you are applying for an advertised position at Beat, we may collect information about you when you create a candidate profile in the System. Therefore, it is important that you carefully review this Privacy Notice before signing-up for the System and before submitting your resume online.

Expressing an interest in working for Beat

This section explains how your personal information will be used when you submit information into the System.

Beat shall require that you provide certain Personal Data during the registration and online application procedure. The provision of your personal information is optional at any time. However, please be aware that your refusal to provide us with your personal information or to process it in the System may result in the Beat not being able to carry out any activity related to your recruitment in this online environment, such as Beat being unable to consider your employment application.

Your personal profile and application progress

You have a responsibility to ensure you submit accurate information into the System and keep it up to date. This can be done via the "Candidate Profile". The Candidate Profile requires a valid e-mail address as a login, along with other information, some of which is mandatory. Mandatory information will be marked accordingly. Your email address allows us to communicate with you if your qualifications and/or preferences match job opportunities, or if you opt to receive automated notifications of job postings at Beat. Your Candidate Profile also makes it possible for you to access the System to monitor the progress of your application or to amend your personal details should you wish to do so.

Categories of Data Collected

Depending on where you are located and/or where the position to which you are applying is located, Beat collects the following Personal Data from you:

  • your name, nationality, gender and date of birth;
  • your address, your e-mail address and other contact information;
  • your educational background;
  • CV and cover letter, interview data, audio and video recordings of interviews;
  • your employment history, your areas of expertise, professional and other work-related licenses, permits and certifications held;
  • your job type preferences;
  • information relating to references;
  • any other information which you elect to transmit through the resume submission process.

Referees

If you provide any information in relation to third parties or referees, you are responsible for obtaining their consent and ensuring they are aware that their details will be forwarded to, and used by Beat.

Special categories of personal information

In the initial stages of the recruitment process, we do not seek to collect special categories of personal information from you (this is also known as “sensitive personal information”).

Why do we need your personal information?

Your personal information is processed in the System so that Beat recruitment teams can consider and manage your application for the advertised position and contact you. Your personal information will be used by Beat for administering the recruitment process. This will include planning and monitoring recruitment campaigns and notifying you from time to time of current vacancies.

Processing of Data

Processing of Personal Data includes using, storing, recording, transferring, adapting, summarizing, amending, sharing and destroying Personal Data as necessary under the circumstances or as otherwise required by law. Personal Data collected through the recruitment registration and online resume submission process will be stored and used for the purpose of evaluating your application.

Who can access your information?

Access to your personal information is limited by need. All recruitment staff within Beat has access to your profile on the database and is able to match your details to current vacancies.
Greenhouse can access your personal information as is necessary to perform its functions but may not share any information without first obtaining permission by you.
The Company will not disclose your Personal Data to unauthorised third parties.

Data Storage and Retention Period

Beat will retain Personal Data in its systems for a period of time that enables Beat to pursue the above-mentioned processing purposes and comply with applicable legal requirements. The criteria used to determine our retention periods are: (i) the duration of the application process; (ii) as long as we have an ongoing relationship with you; (iii) as required by a legal obligation to which we are subject; (iv) as otherwise necessary for legal purposes (such as in regard of applicable statutes of limitations, litigation, or regulatory investigations).
You may of course ask to have your information deleted from the System at any time. Your information will remain on file with us as long as you are actively pursuing positions with Beat. However, your personal information will be kept more than 3 years after the end of the application process. At that point, we may contact you to inform you that your details will be removed from the System unless you instruct us otherwise. We advise you to retain a copy of the Personal Data provided to us, as we may delete data about you from our database at any time and without providing any reason.

Your Rights

Provided that the requirements of the law are met, you have the right to access, rectification and erasure of your data.

Security

Beat is committed to making sure that your personal information processed in the System is kept secure and has implemented accepted standards of technical measures and security policies that protect the information it has under its control from:

  • Unauthorized access.
  • Improper use or disclosure.
  • Unauthorized modification
  • Unlawful destruction or accidental loss.

Links to Third-Party Websites

This Privacy Notice does not address, and we are not responsible for, the privacy, information or other practices of any third parties, including any third party operating any website or service to which our Beat System links. The inclusion of a link on our System does not imply endorsement of the linked site or service by Beat or our affiliates.

Changes to the Privacy Notice

We reserve the right to amend this Privacy Notice at any time in order to address future developments of Beat or changes in industry or legal requirements. We will post the revised Privacy Notice on the System or announce the change on the home page of the System. You can determine when this Privacy Notice was revised by referring to the “Last Updated” sign on top of this Privacy Notice. Any changes will become effective upon the posting of the revised Privacy Notice on the Recruitment Site.
